Refund & Cancellation Policy

Clear, transparent rules for how subscriptions can be cancelled and when refunds apply. Written in plain English — no lawyer-speak.

1. Service Delivery

Asyncotel is a digital SaaS product. On successful payment, access to the chosen plan is activated instantly — plan features, module access and the paid billing cycle begin the moment the payment is captured.

You will receive a GST-compliant tax invoice by email within 24 hours of payment, and a copy is always available from the /billing page inside the app.

Since the Services are delivered electronically, there is no physical shipping, courier or delivery component.

2. Free Trial

New customers get a 14-day free trial on the Starter, Growth and Business plans. No card is required to start the trial, and no charge is made during the trial window. You can stop using the platform at any time during the trial with no financial obligation.

At the end of the trial, you choose whether to subscribe. We do not auto-charge cards — paid subscriptions begin only when you explicitly complete a checkout. The Enterprise plan does not include a self-serve trial; contact sales for evaluation options.

3. Cancellation

You may cancel a paid subscription at any time from the in-app /billing page, or by emailing admin@asyncotel.com.

Cancellation takes effect at the end of your current paid billing cycle — you retain full access until that date, and the plan does not renew for the next cycle. We do not lock customers into contracts.

After cancellation, your data remains accessible in read-only mode for 30 days to allow export. After that, it is removed from production systems per our data-retention policy (see Privacy Policy).

4. Refund Eligibility

Subscription fees, once charged, are generally non-refundable. This is consistent with industry-standard SaaS practice — the platform is made available in full for the paid cycle regardless of usage. In particular, no partial or pro-rated refunds are issued for mid-cycle cancellations, plan downgrades, or reductions in room count.

Refunds we do honour

  • Duplicate charges — if Razorpay captures the same cycle twice due to a retry error, the duplicate is refunded in full.
  • Verified service outage — if the platform is unavailable for more than 48 consecutive hours in a month (excluding scheduled maintenance and third-party outages), we credit a pro-rated refund for the affected days.
  • Mis-billed upgrades — if you were charged for a plan or add-on that was not ordered, we refund the difference in full.
  • Failure to activate — if payment is captured but account activation fails within 72 hours and cannot be remedied, the charge is reversed.

Refunds we do not issue

  • Change of mind, change of ownership, or reduced usage of the platform after activation.
  • Failure of third-party integrations (OTAs, channel managers, payment gateways) outside our direct control.
  • One-time services that have already been performed (OTA Listing, Onboarding/Setup) — these are billed and refunded separately per the service agreement.
  • Requests raised more than 30 days after the charge was processed.

5. How to Request a Refund

Email admin@asyncotel.com from the registered account email with:

  • • Razorpay Payment ID or invoice number
  • • Reason for the refund request
  • • Any relevant screenshots or logs

We respond within 2 working days with a decision. Approved refunds are initiated immediately and typically reflect on your original payment method within 5–7 working days (card/UPI) or per your bank's cycle for NEFT/IMPS. Razorpay transaction fees, where applicable, are not refunded by Razorpay and are therefore not included in the refund.

6. Chargebacks & Disputes

Before raising a chargeback with your bank or card network, please reach out to us first — we aim to resolve genuine billing disputes directly and quickly. Fraudulent or un-substantiated chargebacks will be contested with Razorpay using our transaction records and account activity logs; accounts with repeated unjustified chargebacks may be suspended.

7. Governing Law

This Policy is governed by the laws of India. Any dispute arising out of or in connection with this Policy is subject to the exclusive jurisdiction of the courts at Jhansi, Uttar Pradesh, as set out in our Terms & Conditions.
