Step-by-step instructions for deleting personal data — whether you're a hotelier closing your account or a guest asking for your WhatsApp messages to be removed.

In short

There are several kinds of deletion request this page covers:

  • Hoteliers — closing your Asyncotel account and purging all business + guest data, including a WhatsApp Cloud API connection. See below.
  • Guests who messaged a hotel on WhatsApp — removing your WhatsApp conversation history stored by the hotel on our platform. See below.
  • Google Business Profile — disconnecting a hotel's Google listing from Asyncotel and deleting locally stored connection, review and profile-cache data. See below.

For all requests: email admin@asyncotel.com. We acknowledge within 48 hours and resolve within 30 days, as required by the DPDP Act 2023.

For Hoteliers — Delete Your Account

Step 1 — Log into your Asyncotel account

Sign in at asyncotel.com/login as the account owner. Only the organisation owner can initiate account deletion.

Step 2 — Export your data (optional, recommended)

Go to Settings → Export. Download your reservations, guest records, invoices and financial statements in CSV/PDF. Once deletion begins we cannot recover this data for you.

Step 3 — Email us to request deletion

Send an email from your registered account email to admin@asyncotel.com with subject line "Account Deletion Request". Include your organisation name and registered GSTIN (if any) so we can verify the request.

Step 4 — We confirm and begin deletion

You'll receive an acknowledgement within 48 hours. Your account is locked immediately; personal and business data is purged from production systems within 60 days. Backups rotate out within a further 30 days.

WhatsApp Cloud API connection (without closing the account)

There is no in-app disconnect button for WhatsApp Cloud API today. Email admin@asyncotel.com from the organisation owner address to remove the hotel's stored connection (including sealed tokens) and message rows. Closing the account also cascades those rows. This does not delete chats inside WhatsApp or Meta. Also remove the app in Meta Business Manager if you granted it access.

For Hoteliers — Disconnect Google Business Profile

A hotel or organisation can disconnect Google Business Profile without closing the whole Asyncotel account.

How to disconnect in the product

Sign in as a user with hotel settings-admin permission. Open Google Business Profile in the PMS and choose Disconnect. Confirm the dialog. This removes Asyncotel's connection to that organisation's selected Google listing. The public Google listing itself is not deleted.

What Asyncotel deletes locally

Disconnect deletes the organisation's stored Google connection row, including OAuth access/refresh tokens, granted scope, expiry, account/location identifiers, listing title, connection status, last-sync timestamp, and the cached business-profile snapshot. Synced Google reviews and replies stored for that connection, and any locally stored Google posts tied to it, are removed with the connection.

Google-side access

Asyncotel attempts to revoke the OAuth token with Google when you disconnect. If that revoke call cannot be completed, Asyncotel still deletes the local tokens so the PMS can no longer call Google for that organisation. You can also remove Asyncotel's access from your Google Account permissions. Reviews that already appear on Google remain on Google unless you change them there.

Additional deletion requests

If you need confirmation that residual backups have rotated, or you cannot access the PMS, email admin@asyncotel.com from the organisation owner's registered address. The existing Grievance Officer process below remains valid.

WhatsApp Cloud API connection

There is no in-app disconnect button for WhatsApp Cloud API today. Email admin@asyncotel.com from the organisation owner address to remove the hotel's stored connection (including sealed tokens) and message rows. Closing the Asyncotel account also cascades those rows. This does not delete chats inside WhatsApp or Meta. You should also remove the app in Meta Business Manager if you granted it access.

For Guests — Delete WhatsApp Messages

When you message a hotel that has connected WhatsApp Business through Asyncotel (Meta Cloud API), inbound and outbound message records for that hotel are stored so staff can operate guest messaging and keep an operational record. There is no WhatsApp AI assistant in the current product. You have two ways to request deletion of that data:

Option A — Ask the hotel to request deletion

Contact the hotel you messaged on WhatsApp and ask them to request deletion of your conversation history. Hotels are the Data Fiduciary for their guest records. Asyncotel does not currently provide a self-serve “delete this conversation” control in the product; the hotel (or you) should email admin@asyncotel.com so we can remove the stored message rows for that hotel after identity checks.

Option B — Write to our Grievance Officer

If the hotel does not respond, email admin@asyncotel.com with the WhatsApp number you used and the hotel's name. We will verify your identity (by sending a confirmation to the WhatsApp number you provide) and then delete the relevant conversation records on your behalf.

Note: Deleting your WhatsApp data with us does not delete messages from WhatsApp itself or from the hotel's own records outside our platform. You may need to contact WhatsApp (Meta) separately for that.

Timeline

  • Within 48 hours — we acknowledge your request by email.
  • Within 7 days — identity verification completed, account locked if applicable.
  • Within 30 days — written confirmation that deletion has been scheduled (DPDP Act 2023 obligation).
  • Within 60 days — data purged from all production systems.
  • Within a further 30 days — backups containing the data rotate out.
